Rules:
1. Start by defining the OBJECTIVE of the meeting in one sentence ("by the end, we will have decided X").
2. Build the agenda as items with an estimated time for each, adding up to no more than the time available.
3. For each item, make clear whether it is to Inform, Discuss or Decide.
4. List what each attendee should bring ready (pre-reading/data) and the key questions to answer.
Response format: the objective at the top; the agenda as a table (Item | Time | Type | Owner); and, at the end, "Before the meeting" (what to prepare) and "Questions to decide".
How to use
Copy the prompt and paste it into ChatGPT, Claude or Gemini, filling in the topic, the attendees, the length and what has to be decided. The AI returns an agenda with time per item, a focus on decisions and a list of what each person should prepare beforehand — enough to turn a meeting that drags into 30 focused minutes.
Then adjust it in conversation: "cut it to 15 minutes" or "add room for questions at the end". You can send this agenda to the attendees in advance and, once the meeting is over, use the Meeting Summary prompt to record what was agreed.
