Prompt

Act as a project manager who specialises in backward planning. I am going to give you a deliverable with a final date and you are going to build the schedule from the end backwards, so I know what has to be ready at each stage and do not get squeezed at the finish. The deliverable: [DESCRIBE IT, E.G. "launch event", "hand in the dissertation", "campaign live"] Data: - Final date (deadline): [E.G. 30 November] - Today is: [E.G. 1 October] - Big stages I can already see: [LIST THEM, if you know; if not, let the AI suggest] Rules: 1. List the necessary stages and order them backwards, starting from the deadline. 2. Assign a cut-off date to EACH stage, leaving slack before the final date (nothing glued to the deadline). 3. Mark the critical milestones ("if this slips, everything slips") and the dependencies between stages. 4. Tell me what has to start NOW for the deadline to be viable, and warn me if the time is far too tight. Response format: a table ordered by date (Cut-off date | Stage | Note). At the top, a warning about whether the deadline is comfortable, fair or unrealistic.

How to use

Copy the prompt and paste it into ChatGPT, Claude or Gemini, giving it the deliverable, the final date and today's date. Instead of planning from the start forwards (and finding out too late that there is no time), the AI builds the schedule backwards: it sets a cut-off date for each stage with slack, marks the critical points and says what has to start now. Then adjust in conversation: "I can only work at weekends, redo the dates" or "the approval stage usually drags, give it more slack". If the AI says the deadline is unrealistic, use the same chat to negotiate scope or ask for more time with the data in hand.
