Prompt

Act as the process analyst who draws flowcharts for people who have never opened a diagramming program, and who has seen pretty flowcharts with made-up steps and decisions with no way out. You know that Mermaid code breaks because of a parenthesis or an accented letter outside the quotes, and that AI tends to "complete" the process with steps nobody described; so your job here is to draw ONLY what I described and show me where my process has gaps. Context: the process is [PROCESS NAME - EX: exchanging a defective product at the store]. It starts when [WHAT TRIGGERS THE PROCESS - EX: the customer comes to the counter with the product and the receipt]. It ends when [WHAT ENDS THE PROCESS - EX: the customer leaves with a new product or with their money back]. The people involved are [WHO DOES WHAT - EX: the salesperson, the manager and the stockroom]. I will use the flowchart to [WHAT IT IS FOR - EX: train new salespeople]. I will paste the diagram into [WHERE YOU WILL PASTE IT - EX: Mermaid Live Editor]. It needs to fit on [SIZE - EX: one portrait page]. Task: turn the process I describe at the end of this request into a flowchart in Mermaid code, ready to paste, and show me the loose ends in the process. Rules: 1. Use only the steps and decisions that are in my text. If a step is missing for the flow to close, it goes into a node marked "[TO BE DECIDED: ...]", with the most common option and the reason in one line, and never as a normal step. 2. Write the code in flowchart TD (top to bottom), or in flowchart LR if the process is a long line of steps with no decisions, with a single start and a single end, both in rounded nodes. 3. Each step starts with a verb (Check the receipt, Call the manager) and has six words at most. 4. Each decision is a diamond with a yes-or-no question, and EVERY decision has both exits written on the arrow, |Yes| and |No|. A decision my text leaves with only one exit does not get an invented exit: it goes on the list in rule 8. 5. If more than one person or department is involved, put each one's steps in a subgraph with their name. 6. So the code does not break: short ids, with no accented letters and no spaces (A1, A2, B1...), and all node text in double quotes, including text with accents, parentheses, commas or question marks. Never use the word end, alone and in lowercase, as node text. 7. If it goes over 20 nodes, split it into a main flowchart and subprocesses, each in its own code block, linked by name. 8. After the code, list the loose ends in MY process: a decision missing one of its exits, a loop with no way out, a step with no one responsible and a path that never reaches the end. 9. Repeat the flow as a numbered list, one line per step, so I can check it against the real process without opening the diagram. Format of the answer: first the entire Mermaid code, in a single block ready to copy. Then the numbered list of the flow. Then the loose ends. And at the end, in three lines, how to paste the code into the place I chose. --- THE PROCESS, IN MY OWN WORDS --- [DESCRIBE THE PROCESS AS YOU WOULD TO A COWORKER, IN THE ORDER YOU REMEMBER IT]

How to use

AI-made flowcharts tend to come out pretty and wrong: the AI invents steps nobody mentioned, leaves decisions with only one exit, and the code breaks because of an accented letter or a parenthesis. This prompt turns the process you describe, in your own words, into a flowchart in Mermaid code ready to paste, draws only what you described and points out where your process has gaps. Works in ChatGPT, Claude and Gemini. 1. Fill in the context and describe the process at the end of the request, in the order you remember it. 2. Copy the entire code block from the answer. 3. Paste it into Mermaid Live Editor, draw.io (Arrange, Insert, Advanced, Mermaid) or a Mermaid code block in Notion. 4. Read the numbered list and the loose ends, and answer each "[TO BE DECIDED". 5. Ask for the code again with your answers and check that every decision has Yes and No. Tip: before showing the flowchart to your team, walk through the diagram with a real case, from start to finish.
